AI Automation Buildout

We build the system that captures new leads from your approved channels, follows up automatically, and shows you what needs attention — running on durable infrastructure and launched in focused 2-week starter builds.

Who this is for

Service businesses, agencies, contractors, consultants, and professional firms ready to move from "I should automate this" to a working system in 2–6 weeks.

Problem we solve

Spreadsheets, sticky notes, and a CRM nobody updates. Leads slipping through the cracks. Follow-ups depending on whether someone remembered. You may already be using a CRM, a calendar tool, and three other apps — and still missing leads.

What you walk out with

  • New leads from your approved channels captured, scored, and routed to the right person — usually within 60 seconds when the source systems support it.
  • Follow-up sequences that fire automatically — no human remembering, no leads abandoned.
  • Pipeline visibility so you can answer "how many qualified leads do we have right now?" in one click.
  • A weekly summary report delivered to your inbox or Slack.
  • Handoff documentation so another qualified developer can pick it up if they need to.
  • A 30-day bug-fix window, capped at 10 hours, for issues related to the original approved scope.

Who this is for

Service businesses, agencies, contractors, consultants, and professional firms ready to move from “I should automate this” to a working system in 2–6 weeks.

Operators who are done losing $500 leads to slow replies and forgotten follow-ups. You already know the moves — you just need a system that runs them without you having to remember.

What we build

The exact stack varies by your tools, but a typical Starter looks like:

  1. Web form → CRM record (with company, contact, qualification notes filled in automatically)
  2. Auto-reply email triggered after submission, typically within 30 seconds when the email service and source system are available
  3. Lead routing to the right team member based on simple rules
  4. Calendar booking link that respects your real availability
  5. A reminder sequence that nudges leads through the pipeline
  6. A short daily summary so you always know what’s hot

This is the most common Starter shape. The exact workflow depends on your tools and the outcome we agree on during the Free AI Opportunity Scan.

Built on durable infrastructure — Python, Postgres, Cal.com, Anthropic, Slack, or the right equivalents for your stack — with clear ownership, logs, and handoff notes. Not a brittle chain of unmonitored automations nobody understands.

See it running

On any sales call, ask us to run our own Marco (CRM) and Riley (booking) agents live. You’ll see a signed request go in, a real database update happen, and a live calendar event get created — same engine we deploy for you.

Starter Buildout

Public price

$3,500

2 weeks · built by KV Intelligence

One workflow, up to 5 connected systems, one clear business outcome. Workflow mapping, buildout, testing, basic error alerts for expected failure points, handoff documentation, and a 30-day bug-fix window capped at 10 hours for issues related to the original approved scope. Typical ongoing cost is $75–$200/month for infrastructure alone, or $200–$800/month total when a Care Plan is attached.

Pro Buildout

Starting at $9,500 total

3–6 weeks · co-led by Karl Auguste

For workflows where Starter's "lead in, follow-up out" pattern isn't enough. Multi-channel intake, custom routing logic, daily or weekly reports, integration with up to 5 tools, monitoring, and a 30-day tuning window after go-live. Some Pro Buildouts can be quoted directly after the Free Scan; complex scope requires the Pro Discovery Sprint first.

Custom Buildout

Quoted after Discovery Sprint

Scoped per engagement · led by Karl Auguste

Multi-team operations where automation crosses departments — sales hands off to operations, operations hands off to billing, billing reconciles back — and custom architecture is the right answer. Includes dedicated implementation support and ongoing engineering hours.

Pro Discovery Sprint

Optional add-on

$5,000 · credited toward Pro

5 business days · required when scope is unclear

When a Pro engagement involves unclear requirements, multiple lead sources, custom routing, sensitive data, custom APIs, or systems we need to inspect before quoting, we run a 5-day paid scoping engagement that produces a contract-grade build plan — fully credited toward your Pro Buildout if signed within 30 days. Includes current-state process mapping, future-state workflow design with explicit branches and error handlers, fixed-price quote with assumptions and risks called out, acceptance test plan, and a written risk register.

Care Plan

Ongoing

$200–$800/month

Available for all tiers · confirmed in Buildout proposal

Monthly retainers covering ongoing monitoring, bug fixes after the warranty window, vendor-change repairs, and small enhancements. Three tiers — basic monitoring, standard with monthly improvement budget, and team-level fractional engineering — sized to match the build. Final Care Plan pricing is confirmed during the Free AI Opportunity Scan or alongside the build proposal.

FAQ

How is this different from the AI Business Audit? +

The Audit tells you what to build and why across your whole business. Automation Buildout actually builds one approved workflow. Many clients run an Audit first, then move into a Starter Buildout for the highest-priority opportunity. For Pro Buildouts where scope is unclear, the Pro Discovery Sprint goes deeper on the specific workflow being built.

When is the Pro Discovery Sprint required? +

When a Pro Buildout involves unclear requirements, multiple lead sources, custom routing, sensitive data, custom APIs, or systems we need to inspect before quoting. Clear, well-defined Pro engagements can be quoted directly after the Free AI Opportunity Scan. We'll tell you on the Free Scan call which path fits.

Why charge for discovery at all? +

Because honest scoping for complex Pro work takes real engineering time. The Sprint is fully credited toward the build, so if you sign within 30 days, you've effectively paid nothing extra — you've just paid for scoping up front instead of paying for surprises in week three.

What kinds of tools can you connect? +

Common examples include CRMs, calendars, web forms, email, spreadsheets, invoicing tools, payment systems, Slack, Teams, Airtable-style databases, and customer notification systems. If you use a vertical-specific tool, mention it during the Free Scan and we'll confirm fit.

Who owns the automation after it's built? +

You own the workflow design, documentation, and client-specific configuration created for your business. Any third-party tools, hosting accounts, APIs, or software subscriptions remain under your business accounts wherever possible.

Do we host it, or do you? +

For Starter, we recommend client-owned accounts where possible so you control billing and access. If KV-managed hosting is needed, that's scoped separately with support terms.

What are the ongoing costs? +

Infrastructure alone — API usage, hosting, calendar/CRM tooling — typically runs $75–$200/month. With a monthly Care Plan attached for ongoing monitoring and minor enhancements, total ongoing cost is $200–$800/month depending on the build complexity and Care Plan tier. We don't take vendor commissions; you're billed directly where possible.

What happens if something breaks? +

Starter includes a 30-day bug-fix window capped at 10 hours for issues related to the original approved scope. After that, vendor changes, scope expansions, or new failure modes are covered under a monthly Care Plan or quoted separately.

What happens if KV Intelligence is unavailable later? +

Starter includes handoff documentation so another qualified developer can understand and maintain the workflow. Pro and Custom include deeper technical documentation, repository access, and admin handoff materials so you're never trapped.

How is this different from hiring a Zapier consultant? +

Zapier and Make are fine for simple connections. They get expensive and brittle when a workflow has branches, custom rules, sensitive data, or anything that needs to keep working when a vendor changes a field or button. We use Python and Postgres for the parts that need reliability, and low-code where it's the right fit. The tool is chosen after the workflow is understood — not the other way around.

Can this handle sensitive data? +

Sometimes, but it must be scoped carefully. Workflows involving health, legal, financial, employee, or regulated data may require Pro or Custom because security, access control, logging, and review requirements are higher.

Do you sign NDAs? +

Yes. Send yours over before the engagement and we'll execute it.
